The most important part of the job network is gathering the group for the first time. After that, everything flows naturally. Here we’ll guide you through how you schedule the first meeting. Scheduling the first meeting takes only a few minutes, and below we take you through all of the steps.
Select a contact person
Who sets up the first meeting is typically the contact person/ facilitator. In some groups, this is set beforehand through the registration form. If your group har no pre-set contact person, someone has to step up and take this responsibility for the first meeting.
Set a time
We recommend setting aside 3 hours for each meeting, but 2 hours could work if you’re a small group or have rigorous time keeping. For some groups, the meeting time will already be predetermined based on the preferences each member set when they registered. If this is not the case, you could create a Doodle to find the best time through voting.
It is a good idea to find a fixed time (e.g. every second Tuesday from 13-16), so you' don’t have to discuss this ahead of every meeting. If it is impossible to find a time that suits everyone, choose the time that suits most people. If someone is permanently unable to join on that time, this person can contact Sammen om en jobb and we will try to add them to another job network.
Find a place
If you meet in person, have a look at this guide for ideas to where to meet. If you meet online, Jitsi is a great alternative unless anyone in the group have access to paid plans for Zoom, Meets, Teams etc.
Invite everyone
Once you have the time and place, send out a calendar invitation to everyone. Use our example text below or make your own:

Subject: First meeting scheduled
Hi!
Just confirming that the first meeting for the [name of job network] has been scheduled and will take place on [date].
Best regards,
Send a reminder
A day or two before the meeting, it could be wise to send out a reminder email. You can simply reuse the text above.
Prepare the session
Now, the only thing left for you as the contact person is to have a look at the agenda and prepare like any other member of the network.
A final note
As the contact person, your job is to bring the group together for the first meeting. Once the group has met once, things tend to run smoother. You can either keep the facilitator role or pass it on.
Remember that the success of the meeting is the shared responsibility of the whole group, so lower your shoulders and enjoy the process! 😊
